Airclou Playbook vs Notion

Notion is the everything workspace — docs, wikis, projects, and AI. Playbook is purpose-built for procedures: SOPs with real publication states, training your team can prove, and the knowledge that grounds your customer-facing AI.

The honest verdict

A page for everything, or a system for procedures

Notion can hold your SOPs. The question is what happens after they're written — who trains on them, who signs them, and what your AI is allowed to answer from.

Documents vs procedures

In Notion an SOP is a page — flexible, but structurally identical to your meeting notes. In Playbook it's a first-class object with topics, steps, publication states, versions, and an audience that's tracked.

Training is the product, not a database you build

Notion teams assemble training trackers from databases and checkboxes. Playbook ships it: assignments with To Do lists, scored quizzes, recorded signatures, completion per person and per group.

Where Notion is ahead

One tool for docs, projects, and wikis; a huge template ecosystem; polished mobile apps with offline; and a $10 Plus plan (or free for individuals). If you need a workspace, not a procedure system, Notion wins — honestly.

The difference, shown

What purpose-built looks like

Training with proof, out of the box

Assign a playbook to a group and everyone gets a To Do; quizzes score understanding; signature requirements record acknowledgment against the version signed. No database schema to invent, no checkbox honor system.

  • Assignments with completion per person and per group
  • Scored quizzes inside the playbook they check
  • Signatures recorded — who, what, when, which version

Your SOPs answer customers, with citations

Published playbooks ground the AI replies your Airclou Helpdesk sends — each draft carries a sources card naming the exact playbooks and versions it answered from. A wiki can inform your team; this one also works your queue.

  • Published playbooks ground every Helpdesk AI answer
  • Citations name the exact playbook and version
  • Drafts and unpublished edits never reach customers

Questions teams ask about moving SOPs out of Notion

Can we bring our Notion SOPs over?

Export the pages from Notion and import the documents into Playbook. Smart Outline helps restructure free-form prose into topics and steps, and nothing publishes until you review it.

We already pay for Notion. Why add Playbook?

Keep Notion — it’s excellent for docs, projects, and wikis. Playbook earns its seat when procedures need to be operational: assigned as training, checked with quizzes, acknowledged with signatures, and served to your customer-facing AI with version-level citations. Many teams run both.

Can’t we build training tracking in Notion with databases?

You can assemble one — a database of people × documents with checkboxes. What you won’t get natively is scored quizzes, recorded signatures, per-group completion analytics, or any enforcement that the content someone signed is the version they actually read. In Playbook that’s the product, not a system you maintain.

Notion has mobile apps. Playbook doesn’t?

Correct — today Playbook is a web app (it works in a mobile browser, but there is no native app). If offline mobile access is core to how your team reads procedures, Notion is stronger there today.

What does “grounds your AI” get us if we don’t use Airclou Helpdesk?

Playbook is a complete product without it: structured SOPs, versioning, assignments, quizzes, and signatures. The AI grounding is what you unlock later — the same playbooks start answering your customers through Airclou Helpdesk, cited by name and version.

Are we locked into a contract?

No. Playbook bills monthly per member and you can cancel anytime. Annual billing exists for the discount, not as a lock-in — and your content is exportable either way.
